Documentation retention refers to the requirement to keep crane inspection records accessible and organized for a minimum period. While OSHA doesn't specify an exact retention period for most crane inspection records, industry best practice is to retain records for the life of the equipment plus several years. Annual inspection records must be retained until the next annual inspection at minimum. Many companies retain all records for 5-7 years. During OSHA investigations or litigation, companies must produce relevant records — inability to do so can result in adverse inferences. Digital record-keeping eliminates lost or damaged paper records and enables instant retrieval.
